Award administration
The award administration provides you with the following functions:
Automatic selection of the QSOs which qualify for the award
Administration of the award submission status
Calculating the award status and QSO counts
Selecting the QSOs for which QSL cards are needed to improve the award count.
Printing of the award submission lists
Two basic elements are needed for the administration of an award:
A statistic
The statistic defines the rules to select the QSOs which qualify for an award and calculates the counts for the award. An award definition
The award definition defines the award, the bands and modes you want to include and some other selection criteria for the QSOsOptionally a report for the submission form can be defined. For details see Reports
Standard award definitions
For common awards I will define standard award definitions. So if these definitions fit your needs you don't need to prepare anything yourself and you can use the standard definitions. Because I am not an award specialist it may take some time until a collection of standard definition is available. So if you have prepared a valid definition of a popular award please send it to me; so that it can be shared with other SWISSLOG users.
Private award definitions
If there is no standard definition available you have to prepare the definitions yourself.
First check if there is a standard statistic definition available which fits your needs. If not define your private statistic by following the instructions in Define Statistics
Once you have defined or selected the statistic create an award definition by following the instructions in Create an Award Definition
The award administration is contained in one window with the following 5 pages:
Shows all QSOs which qualify for the award and which are not yet selected. Use this page to check if there are new QSOs which qualify for the award.
Shows all currently selected QSOs. You can change the award status of the QSOs (Selected, Submitted, Credited, Rejected).
Shows all QSOs for which a QSL card is needed to increase the award status
Shows the statistic of the award. Here you can check the totals to see if you qualify for the award. This the same as a normal statistic view
Shows a specialized report generator window which allows you to print the award application.
Special rules apply as to how the QSL cards must be sorted for the DXCC award. If you have QSL cards with more than one QSO which qualify for DXCC then make sure you read this section.
To open the award administration function select:
and select the award:
Select QSOs for Award
The page Select QSOs for Award is used to select the QSOs which should be included in the award. SWISSLOG automatically selects the QSOs which qualify and proposes a QSO to be included. If you don't want to include the proposed QSO you can select another QSO. The selection of QSOs included in the award can be changed until the QSO has been submitted in the Organize QSOs for Award page.
The page looks like this:
Explanation of the contents
Award Information:
The award information shows the award entity with its key and the description if available (an information table is defined for the statistic). In the example the key is the DXCC and the description is the DXCC name.
Status:
Shows the status of the QSO with respect to the Award
New
Is a new QSO for the award proposed by SWISSLOG. If you deselect New, it is automatically selected.

Organize QSOs for Awards
The page Organize QSOs for Award is used to maintain the status of the selected QSOs and to make corrections to the selection.
The page looks like this:
Explanation of the contents
Select:
This is the selection checkbox. The operations are performed on the selected QSOS, the ones which have the checkmark set in this box.
Award Information:
The award information shows the
- award entity with its key and the description if available (an information table is defined for the statistic).
- the needed indicator. If the needed indicator is not set there are other QSOs selected which qualify the same way for the award
- The award status
Qualifying for: Informs you for which band and modes the QSO qualifies.
QSL: Shows you how the QSO was confirmed (by card or LoTW)
QSO Information: Shows the most important QSO information, and the submitted and credited date. Operations
Change the status of selected QSOs:
Select the QSOs for which you want to change the status by checking the Select checkbox then change the status by selecting one of the status-change functions:
You can use the Runtime Filtering to select the QSOs and then use the function to select/deselect all QSOs.
Note:
You should first print the application form and then change the status to Submitted. You need the status Selected in the Report page to select the QSOs which should be included on the application form. If you change the status to Submitted before you print the application you lose the selection possibility. I have provided recovery possibilities in case you make a mistake:
- You can select by the Submit-Date in the Report page
- You can filter using the Runtime Filtering on this page and then select the filtered records as data source in the Report page (QSOs filtered for the award)
Select another QSO as proposed:
To select another QSO as currently selected press on the + button and select the QSO you want by checking the Select checkbox. In this example we select another 20m QSO:
![]()
Select QSOs to be printed on a Report:
You can use the Runtime Filtering to select the QSOs which should be included in the report. In the Report page two data sources are available:
- All QSOs of the Award: select this data source to include all QSOs of the award
- QSOs filtered for the Award: select this data source to include only the QSOs you have filtered in this page
QSL Needed
This page displays all QSOs which would qualify for the award if a QSL was received. It allows you to reclaim QSL cards which are badly needed. You can use the filter capabilities of the grid to narrow down to the QSOs for which you want to start a 'Reclaim Action': See Runtime Filtering for details of how to use the filter capability.
The page looks as follows:

Use
to print the QSOs you have manually selected (the ones which are highlighted and have a point in the indicator cell).
This will open the Report print Dialog
Reports
Reports
This is a specialized Print/View Reports window. Its view is restricted to the QSOs selected for the award. It opens with the report pre-selected which is defined under Std.Report in the award definition. You can use every available report. But remember the selection criteria of the report are only applied to the QSOs of the award. Because the reports are dynamically modified to restrict the view some of the report may not work correctly.
For each award a View (table) is created which selects the QSOs of the Award. The name of the View is the name of the award from which all blanks and special characters have been removed and have been prefixed with AWD_. For example for the Test-Award DXCC Full the name of the view is AWD_DXCCFull.
In addition a special View called ACTIVEAWARD is created which selects the QSO of the currently active award. This makes it possible to create generic reports, reports which can be used for all awards. I have created such a report called Generic Award QSO List.rpt. It is automatically selected if there is no standard report defined for the award.
Two data sources are available:
All QSOs of the Award: select this data source to include all QSOs of the award
QSOs filtered for the Award: select this data source to include only the QSOs you have filtered in the page Organize QSOs for Award
The page looks like this:
![]()
Explanation of the contents
Select the Data Source:
Here you can select the QSOs that will be printed on the report. You can select between:
- All QSOs of the Award to include all QSOs of the award
- QSOs filtered for the Award to include only the QSOs you have filtered in the Page Organize QSOs for Award
The active data source is displayed at the top under Active Data Source
Select the Report:
Here you select the report you want to print. It is an Explorer-like list directory containing the reports for the selected award. You can navigate in the directory structure to select other reports. Use the drive box to change the root directory.
Note: the report you select is dynamically modified so that only the award QSOs are included. Therefore not all reports may work correctly.
Selection for Award submission:
Here you can filter the QSOs included on the report. As long as nothing is selected all QSOs are included. The selection criteria for the different fields are 'ANDed', the criteria for a field are 'ORed'. For example if you select:
- Status = 'Selected', 'Submitted'
- Submit-Date from = 26.04.2005
- Band 160m, 80m
the selection statement is: if (Status = (Selected or Submitted)) and Submit-Date = 26.04.2005 and (Band =(160m or 80m))

Sorting the QSL Cards for the DXCC Award
QSL cards for DXCC award have to be sorted according to the ARRL rules. For QSL cards with only one QSO this is straight forward. But QSL cards with multiple QSOs which qualify for the award must be placed at the very end. SWISSLOG sorts such QSL Cards correctly if the QSL-Card-Nr. is assigned correctly!
For QSL cards with multiple QSOs you should assign a unique Card-Nr. That means that each QSO on a card should have the same Card-Nr so that SWISSLOG can find out that there are multiply QSOs on a Card.
The QSL-Card-Nr. is entered in the QSO-Edit window in the page QSL-Info.
